North Lights BV values your privacy. This statement explains which personal data we process when you visit northlights.be or contact us, why we process it, and which rights you have.

1. Who we are
North Lights BV (VAT / company number BE 1032.462.159), with offices at Excelsiorlaan 71, 1930 Zaventem (Belgium) and a warehouse at Rijkmakerlaan 7, 2910 Essen (Belgium), is the controller for the processing of personal data described in this statement. 2. What data we collect
When you use the contact form we process the details you provide: your name, email address, subject and message, plus your company name, country and phone number when you choose to fill in those optional fields. We also process your IP address temporarily to prevent spam and enforce the contact-form submission limit. When you visit the website we additionally process limited technical data (such as pages visited and browser type) via Google Analytics, but only after you have accepted analytics cookies. The form is not intended for special categories of personal data (such as health information); please do not include such information. We do not knowingly collect data from minors.
3. Why we process your data
We use your data to answer your questions, prepare quotes, handle orders and improve our website. We do not use your data for automated decision-making and we do not sell it to third parties.
4. Legal bases
We process contact details on the basis of pre-contractual steps taken at your request (Article 6(1)(b) GDPR) and our legitimate interest in responding to business inquiries and protecting the website against abuse (Article 6(1)(f) GDPR). Your IP address is used solely for security, spam prevention and rate limiting. Analytics data is processed only with your consent (Article 6(1)(a) GDPR), which you can withdraw at any time.
5. Cookies and analytics
On your first visit we ask permission for analytics cookies. Google Analytics 4 (provided by Google Ireland Limited) is loaded only after you accept and uses the cookies "_ga" and "_ga_*" to process a pseudonymous identifier, approximate location and browser and device information. We do not use the data for advertising. Your choice is stored locally in your browser. You can change or withdraw it at any time via the button at the bottom of this page; if you decline or withdraw consent, Analytics is no longer loaded and the analytics cookies accessible to this website are removed.
6. Who receives your data
We share data only with service providers that are necessary to run this website: Resend (email delivery of contact-form messages), Vercel (website hosting) and Google (analytics, after consent). These parties process data on our behalf under processing agreements.
7. International transfers
Some of our service providers are established in the United States. Transfers to these parties take place on the basis of the EU-US Data Privacy Framework or EU standard contractual clauses.
8. Retention
Contact-form messages are kept no longer than necessary to handle your inquiry and any follow-up. IP-address data used by the rate limiter is held temporarily in active server memory only and is not included in the contact email. Analytics data is retained for a maximum of 14 months.
9. Security of your data
We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. This website is served exclusively over an encrypted connection (HTTPS). The contact form is protected by spam detection and a submission limit; the IP address used for this stays temporarily in the server's working memory and is never included in the email. Access to incoming messages is limited to the staff handling your enquiry. Our service providers process data under data processing agreements. No online service is entirely free of risk; if you notice a vulnerability, please tell us at info@northlights.be.
10. Your rights
You have the right to access, rectify, erase and port your personal data, and to restrict or object to its processing. You can withdraw given consent at any time. To exercise your rights, email info@northlights.be. You can also lodge a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be).
11. Changes
We may update this privacy statement from time to time. The date at the top of this page indicates when it was last revised. We recommend checking this page periodically.
